How Can You Find Out About a Property’s Maintenance History? The Property’s Maintenance Record
How are home repairs and maintenance assessed? Create a property file to record the date, scope, service history and any outstanding queries.

The current appearance of the property may not reveal what work has been carried out in the past. Maintenance records, equipment details and repair descriptions help to clarify any queries. However, the existence of documentation does not automatically prove that all work was carried out correctly or that there will be no further problems.
Which categories should you start with?
Heating and cooling systems, plumbing, joinery, surface refurbishment and communal area works can be listed separately. For each category, note the date, the person or firm carrying out the work, the scope of the work and any existing documentation. If no documentation exists, this should be clearly stated; do not estimate dates.
Specify what is meant by ‘refurbished’
Was it merely a coat of paint, or were the plumbing systems also addressed? Replacing parts is not the same as a complete system overhaul. Details of the materials used and the method of application may be required. Do not confuse the seller’s knowledge with an expert’s assessment.
Appliance documentation
The model, user manual, service history and warranty cover may be useful for day-to-day use. Conditions regarding the transfer or continuation of the warranty must be verified with the relevant supplier. Ensure that the product shown in the documentation matches the appliance in your home.

Common area records
Obtain information from the management regarding the current maintenance schedule and any known planned works. Where possible, supplement any verbal explanation with the relevant records. Do not assume that work carried out throughout the building covers all elements within the flat.
List of missing information
Use the labels ‘Unknown’, ‘Document pending’ and ‘Expert assessment required’. The purpose of the file is not to portray the property as being in good or poor condition, but to categorise the types of evidence. Unnecessary sections should not be shared in documents containing personal information.
When inspecting a property with Buy Best Villa, you can review the maintenance file alongside the photo album. This file does not replace a technical compliance report; it clarifies the questions to be addressed during the inspection.
