How to Gather Feedback on House Sales? A Simple Tracking Table
How do you record feedback after property viewings? Set up a simple follow-up system that distinguishes between needs, suitability, objections and the next step.

The information that ‘the ministers were impressed’ is often insufficient for developing a sales plan. Which features were appreciated, which questions remained unanswered, and what was the next step? Regular record-keeping makes the comments of visitors, who arrive with different expectations, easier to understand.
Key fields in the table
The visit date, basic housing need, suitable features, points of disagreement and follow-up task are sufficient to start with. The aim is not to collect unnecessary information about the individual. An identity number or irrelevant details of their private life are not required for this assessment.
Distinguish between comments and observations
“The flat was found to be in poor condition” is a comment. “A separate study was requested” is concrete information about a need. Instead of “the balcony is small”, a note such as “the passageway was found to be narrow once the table was placed” may be more explanatory. Do not alter the person’s statement with your own assumptions.
Identify recurring questions
If the same missing information is being asked by different people, it can be added to the advert. If the same usage discrepancy persists, the target audience may need to be reviewed. However, do not draw conclusions about the entire market based on a small number of viewings. Time, marketing channels and needs may change.

The follow-up task must be clear
Instead of ‘will get back to you’, write ‘balcony measurements will be verified and shared’. It must be clear who will provide the information and when. Unanswered questions being forgotten creates unnecessary uncertainty. In the next meeting, distinguish between completed and pending tasks.
The focus of the weekly meeting
Rather than simply looking at the total number of enquiries, analyse which enquiries led to appointments and which visits resulted in a second meeting. Assess the balance alongside the figures. Fewer but more relevant presentations can provide more meaningful insight into the process; this is not a guarantee of a sale.
When evaluating with Buy Best Villa, you can add the question “What did we learn and what information did we correct?” to the standard “How many people came?” Data protection principles must also be observed when sharing records.
