Rental Handover Record and Inventory List: Why Photos Are a Must

The handover record documents the condition of the home at move-in. It is the strongest proof in deposit and damage disputes at move-out.

Short answer: The handover record documents, in writing and with photos, the condition of the home on the day it was handed to the tenant, the fixtures and the meter readings. If a dispute about damage or missing items arises at move-out, it is the most important evidence for the deposit and for compensation.

What should the record include?

  1. Date and parties. Signatures and date.
  2. Condition room by room. Walls, floors, doors, windows, kitchen, bathroom.
  3. Fixtures. White goods, air conditioning, furniture, built-in appliances, combi boiler.
  4. Meter readings. Electricity, water, natural gas.
  5. Number of keys and remotes. Door, mailbox, parking.
  6. Photos and video. Dated and numbered.

When the tenant leaves, the home is compared with the same list. Normal wear and tear (such as slight fading of paint) is not damage; damage caused intentionally or by negligence is the tenant's responsibility. Any difference is recorded in writing.
